Calendly does not know about your whole week. It knows about the calendars you connected to it, and nothing else.
If a meeting sits on a calendar Calendly cannot see, the link still offers that slot, and someone books it. The fix is to put that meeting on a calendar Calendly does check.
Why does Calendly double-book me?
Calendly's own help says it "checks your calendar for busy times and adds new meetings to it". The key word is your calendar: whichever ones you selected for conflict checking.
Three gaps cause nearly every double-booking:
- A calendar that is not connected. A second job, a partner's shared calendar, a personal calendar you never added.
- The connection limit. The free plan checks one calendar for conflicts, and paid plans allow up to six per user.
- A calendar Calendly cannot connect. Its help page lists Google Calendar, Office 365 and Outlook.com, and Exchange. iCloud, Fastmail and CalDAV calendars are not on that list.
Adding the missing calendar to Calendly solves the first two when it can. The third has no setting to change on Calendly's side.
What is the fix?
Copy the events from the calendar Calendly cannot see into one it can. Calendly then sees a busy block at that time and stops offering the slot.
Keeper.sh does the copying. It connects Google Calendar, Outlook, Microsoft 365, iCloud, Fastmail and any CalDAV server, and writes a busy block on a calendar you choose. You pick which calendar sends to which. Nothing else needs to change in Calendly.
How do you set it up?
Take an example: Calendly checks your work Google calendar, and your personal events live in iCloud.
- Create a Keeper.sh account and connect both calendars from Import Calendars.
- Open the iCloud calendar and tick the Google calendar under Send Events to Calendars.
- Leave the work calendar as Calendly's checked calendar, with Calendly's Add to calendar setting pointing at it.
Your iCloud events now appear on the Google calendar. Calendly already checks that calendar, so those hours stop being bookable.
The other direction is a second connection. If you also want work meetings to show on iCloud, tick the iCloud calendar under the Google calendar's Send Events to Calendars. See sync work and personal calendars for the full two-way version.
Will people see my private events?
No. By default a copy is named after the calendar it came from, with no description or location, and guest lists are never copied. Your Google calendar shows a block called "Personal", not your appointment.
What a copied event shows lists every setting, and which need Pro.
How quickly does a new event block the slot?
Keeper.sh reads your calendars every minute on every plan. Writing the copy onto the other calendar is what differs. On Free that happens within 30 minutes. On Pro, Google and Outlook changes land within seconds. iCloud, Fastmail and other CalDAV calendars are read on a timer on either plan.
That gap matters for a booking link. An event you add at 2:00 may not be on the checked calendar until 2:30 on Free, and someone could book that slot in between. If your link takes bookings at short notice, Pro closes most of that window. Plans and limits has the numbers.
What does the free plan cover?
Two linked accounts and three connections. One account per calendar service, however many calendars sit inside it, so the example above uses both accounts and one connection.
What does this not fix?
- Calendly checking a calendar you disconnected. Check the conflict list under Calendly's calendar connections.
- A booking made before the copy lands. Two people can still take the same slot inside the update gap.
- Events further out than the copy window. Keeper.sh covers a week back to two years ahead.
